Corporate Template Management

[Microsoft Office conzept]

When conventionally creating standard letters, templates are duplicated and completed with further information, which leads to an immense number of templates. If the layout or format needs to be altered at a later date, such changes will not automatically be carried out in all the duplicated templates. This leads to the conclusion that a copied template is regarded as an outdated template.

officeatwork creates templates which are linked to Master-Templates – so-called Smart-Templates. Every single item of content of a Smart-Template is recorded separately. In accordance with the linked Master-Template, there will always be a current, up-to-date version of the template. In order to revise Smart-Templates, there is a Smart-Template Manager application avaliable. This is configured in such a way that manipulation to the linked Master-Template is restricted. Accordingly, creators of a Smart-Template can concentrate on the content of each item. Moreover, all language varieties can be administered by the same Smart-Template. The number of templates is therefore radically reduced, and identification of the appropriate template is greatly simplified.

A Smart-Template that has been created in this way will automatically be updated whenever the Master-Template changes. In this way, the correct use of the enterprise’s corporate design is always enforced. Smart-Templates benefit from all the settings and adjustments that are carried out in the Master-Template. They take over all the officeatwork settings, such as Output Management.

The possibility of creating such Smart-Templates is a significient support and efficiency for the administrator of the templates.
