Eiffage Suisse AG with its 150 employees is represented at eight locations across Switzerland, including Basel, Bern, Chur, Glattbrugg, St. Gallen, Zug/Luzern, Aarau, and Fribourg. Its core business activities focus on construction and project development. The current project portfolio is comprised of approximately 52 ongoing development and construction projects.

Throughout the years, Eiffage Suisse had been leveraging our on-premise template management solution for document creation. This system was integral to their operations and has served them well over the years.

Over time however, some limitations of the on-premise solution came to light, such as regular IT maintenance, manual updates and sudden crashes of the application as a consequence of regular Office 365 updates. This led to inconsistent internal usage of the application which underscored the need for a change to a more adaptable, robust, and scalable solution.

The Template Chooser provides a uniform and intuitive user experience. This allows for easy access to all our document templates by making them available exactly where they are needed: in Microsoft 365 apps, in the users’ preferred web browser or in our daily workflows.

Recognizing the shifting requirements and the potential to enhance their operational efficiency, Jürgen Lauer, Head of IT and Processes at Eiffage Suisse AG together with his Project Team lead the transition from our on-premise to the cloud-based solution.  The scope of the project included the implementation of the following apps to simplify document creation and branded communication needs: Mail Signature, Template Chooser, Content Chooser, Wizard, Content Uploader and Designer.

The cloud-based Template Chooser provides a more integrated and intuitive solution for template management. It does this by making templates available exactly where they are needed: in Microsoft 365 apps, in the users’ preferred web browser as well as directly embedded into the employee's daily workflows. This enables Eiffage Suisse to manage their documents more effectively and consistently wherever and whenever standardized documents are required.

The officeatwork Designer App enables Eiffage Suisse to create dynamic templates that respond to employees’ specific needs. Additionally, the integration of the Wizard App into Word and other Office 365 Apps simplifies the task of personalizing these templates with user-specific data. The officeatwork Mail Signature App makes sure that branded, consistent, and personalized email signatures are automatically inserted into the daily email correspondence.

The officeatwork cloud approach addressed the immediate needs of a more consistent and user-friendly provision of templates across the organization. It also laid the foundation for future growth and scalability through significantly reduced maintenance, thereby freeing valuable resources for Power Users and the IT department.

This shift significantly minimizes the need for IT intervention, thanks to inherent stability of the cloud infrastructure and automated updates, allowing the IT department to focus more on strategic initiatives and relevant projects rather than routine maintenance tasks.

The on-cloud solution contributes to our operational efficiency by reducing complexity for our employees and by minimizing IT support thanks to a stable low-maintenance environment.
